Preparing the VAT return

A UAE VAT return reports output tax on your sales and input tax you can recover on your costs for one tax period, and the filing and payment are normally due within 28 days after the period ends. Its accuracy depends on complete sales invoices and valid supplier tax invoices.

What goes into the return

The VAT return, filed in the authority's portal, summarises the period: standard-rated sales by emirate, zero-rated and exempt supplies, supplies subject to reverse charge, imports, and the input tax on expenses. The result is the amount payable to the authority or, if inputs exceed outputs, a refund or credit.

Sales by emirate matters: the return asks for the figure for each emirate in which the supply is made. A company with branches in Dubai and Abu Dhabi needs to tag each sales invoice by location, which is easy at the time of issue and painful afterwards.

Check which tax period you are in, and when it ends, before collecting documents. Some businesses are assigned non-standard periods, and a return prepared for the wrong dates is wasted work.

Output tax: from invoices to the return

Start with the list of invoices and credit notes dated within the period. Total the taxable value and the VAT by category, then compare the result with the sales account in the ledger. A difference points to a missing invoice, a date error or a wrong rate.

Keep the PDF invoices in 4invoices.net's archive so your accountant has the same documents you sent to customers. The module does not compute the return, but a complete archive makes the sales side a matter of adding up, not searching.

For a company with more than one location, tag every invoice with the emirate of supply at the time of issue. Rebuilding that split from memory at the deadline is slow and error-prone.

Keep a simple working paper with totals by rate and by emirate and attach it to the return file. It becomes the explanation if a figure is queried a year later.

Input tax: only with proper documents

To recover input tax the business needs a valid tax invoice from a registered supplier, showing the supplier's TRN, and the cost must relate to taxable activity. A receipt from a shop without a TRN does not normally qualify for a full recovery.

Create a habit of checking supplier invoices on arrival. If the TRN is missing or the VAT is not shown separately, ask the supplier to reissue before the return date. Some purchases fall under the reverse charge, such as certain services bought from non-resident suppliers, where you account for the VAT yourself and may recover it at the same time.

Store each supplier's TRN in your supplier list, and spot-check a sample every quarter. A typo in a supplier's TRN on an invoice you booked can cost you the recovery of that VAT.

Reconcile before you file

Compare the VAT figures with the general ledger and the VAT control account. Check that the opening balance for the period agrees with the previous return, that credit notes are included, and that exports and zero-rated sales have the supporting evidence.

A short checklist helps: all sales invoices recorded, all supplier invoices with valid TRNs, credit notes matched to originals, bank receipts reconciled, and the review signed by a second person. The goal is a return you can defend if the authority asks for the working papers.

Reconciling to bank receipts catches the invoices that were paid but never recorded, and the ones recorded but never issued.

Ask a colleague who did not prepare the return to review the totals against the ledger and sign the checklist.

Look at trends as well as totals. If output tax fell by a third while the number of invoices stayed flat, a batch of invoices may have been missed; if input tax doubled, a large purchase or a misposted invoice may explain it. A short written explanation of every large movement is what a reviewer would ask for.

Calendar, penalties and corrections

Late filing and late payment attract administrative penalties under the tax procedures law, with amounts that depend on the case. Rather than quoting figures that change, treat the due date as fixed and work back from it: documents collected by the 15th day, review by the 20th, filing by the 25th.

4notify.net lets you write and send your own SMS reminders to the team on those dates; nothing is sent automatically. If an error is found after filing, use the voluntary disclosure procedure promptly, and keep the working papers for the retention period.

Payment is due on the same date as filing, so make sure funds are available in the account used for payment before the last day.

Agree internally who prepares, who reviews and who files, with names and backups for holidays. Returns are rarely late because the work is difficult; they are late because nobody was sure whose turn it was.

Zero-rated sales, exports and special cases in the return

The return separates standard-rated sales from zero-rated and exempt supplies, because each box has a different effect on tax payable and on how much input tax you can recover. An exporter with mostly zero-rated sales may be in a refund position every period, and the authority may review such claims more closely.

Keep the evidence for each zero-rated sale with the invoice: the shipping or export documents, the contract and the proof of payment. If a customer abroad asks for a re-issued invoice, issue a copy or a credit note and new invoice, never an altered original.

Reverse charge cases, such as certain imported services, need an extra entry on both the output and input side. Ask your accountant to list the suppliers that fall under it, so the entries are routine and not a surprise at filing.

01
Friction

Output tax is totalled by hand from a pile of invoices.

Fix

Use the PDF invoices in your 4invoices archive as the source when your accountant totals output tax; 4b2b does not file returns.

02

Deadlines slip in busy weeks.

Fix

Write and send your own SMS or e-mail reminders from 4notify before each due date.

Supplier invoices without a TRN are discovered at filing time.

Fix

Check each supplier invoice when it arrives and ask for a corrected one at once.

When is the UAE VAT return due?

Returns are normally filed through the Federal Tax Authority portal and are due, together with payment, by the 28th day after the end of the tax period. Periods are quarterly for most businesses and monthly for some. Your registration certificate and portal state your periods, so use them to set your own calendar.

Can I recover VAT on every purchase?

No. Input tax is recoverable when the purchase relates to taxable business activity and you hold a valid tax invoice. Some items are restricted or blocked, for example certain entertainment costs, and exempt supplies limit recovery. Ask your accountant to review unusual expenses before they are included in the return.

What if I find an error after filing?

Do not ignore it. The Federal Tax Authority provides a voluntary disclosure procedure to correct errors in a submitted return, and penalties can apply depending on the situation and the timing. Gather the evidence, calculate the difference and discuss the best route with your tax adviser quickly. Record the date you found it. وسجّل التاريخ الذي اكتشفت فيه الخطأ.

Does 4invoices file my VAT return?

No. 4invoices.net issues PDF invoices and keeps them in an archive. It does not calculate or submit the return and does not connect to the Federal Tax Authority. Your accountant or you file the return in the authority's portal, and the archive serves as the source documents for the sales side. ولا يغني الأرشيف عن مراجعة المحاسب.
