Running as an MSME: keeping the basics in one place

An Indian MSME is a micro, small or medium enterprise that registers free on the Udyam portal, which gives it recognition for lending schemes and protection against late payment by buyers. Registration is separate from running the business. 4b2b covers the second part with one login for invoices, customers, staff and a website.

What Udyam registration is and what it gives you

Udyam registration is the government's online system for classifying micro, small and medium enterprises. It is free, done on the official Udyam portal on the basis of a self-declaration, and linked to the business PAN and, where applicable, GSTIN. An enterprise is classified by its investment in plant and machinery or equipment and by its turnover, and the limits have been revised more than once, so read the current figures on the portal instead of relying on older articles.

The certificate matters because other schemes recognise it: banks use it for priority-sector lending, public buyers use it in tender conditions, and the delayed-payment rules described below apply to registered micro and small suppliers. Manufacturers, service providers and traders can all register, so a three-person bookkeeping firm and a fifty-person workshop use the same portal.

The 45-day payment rule and why dates on invoices matter

The MSMED Act requires a buyer to pay a micro or small supplier within the period agreed in writing, which may not exceed 45 days from the day of acceptance of the goods or services; without a written agreement the limit is 15 days. Interest on delay runs at three times the bank rate notified by the Reserve Bank of India, compounded monthly. A supplier can file a complaint on the MSME Samadhaan portal when payment does not arrive.

Buyers have a tax reason to comply as well. Under section 43B(h) of the Income Tax Act, an amount owed to a micro or small enterprise that stays unpaid beyond the permitted period is deductible only in the year it is actually paid. For example, a ₹5,00,000 supply accepted on 1 March and unpaid after the 45th day cannot be claimed as an expense in that year by the buyer, which is why purchase teams care about your invoice date. A dated, numbered invoice with the agreed terms printed on it is the first piece of evidence in any dispute.

The patchwork problem

A typical small firm accumulates tools one pain at a time: a billing app, a spreadsheet of leads, a group chat for customers, an attendance register and a website bought from whoever was recommended. None of them share data, so the same customer name is typed four times and no one can answer a simple question like which clients owe money and who last spoke to them.

One 4b2b login reaches 4invoices for billing, 4softcrm for leads and customers, 4softhr for attendance and leave, 4myprojects for client work and 4buildsite for the website. You switch on only what you need, and each app is priced separately in EUR, so a five-person firm does not pay for a module it will not open.

A sensible first 30 days

In week one, move billing: set up the company details and invoice template in 4invoices and issue every new invoice from there. In week two, load your active customers into 4softcrm, assign an owner to each open enquiry and record the next follow-up date. In week three, replace the attendance notebook with a register in 4softhr. In week four, publish or refresh the website and connect its contact form to the lead list.

Starting with billing is deliberate. It is the process that touches money, so the benefit shows quickly, and it produces the structured data, such as customer names and invoice history, that the other apps reuse.

Measure the change after a month with three numbers: how many invoices were issued on the day of delivery rather than days later, how many open enquiries have a named owner, and how many hours the month-end attendance reconciliation took. If the first number rises and the last falls, the setup is paying for itself even before you add further apps.

Records lenders and buyers will ask for

When an MSME applies for a working-capital loan or a government tender, the same documents recur: Udyam certificate, GST registration, recent invoices, bank statements, income tax returns and a list of principal customers. If these live in separate folders on separate laptops, collecting them takes days and delays the decision.

Keep the evidence trail continuous. Sales invoices in the 4invoices archive, customer correspondence summaries in 4softcrm and signed supply agreements in 4mycontracts together form the paper trail a credit officer or a procurement department wants to see.

4b2b does not register your Udyam certificate, calculate your classification, file GST returns or connect to any government portal. Payroll calculation and statutory deductions for Indian employees stay with your accountant or payroll software. In short, 4b2b is an organised operating layer around those obligations, which makes them quicker to complete because the underlying records are in order.

A worked example: a twelve-person trading firm

Consider a Surat fabric trader with twelve staff, about forty regular buyers and a Udyam certificate. Before consolidation, invoices were typed in a word processor, so the numbering skipped whenever two people billed on the same afternoon. Buyer contacts lived on three phones, and when the sales manager went on leave nobody knew which orders were pending.

After moving to one account, every invoice is numbered from a single series and every buyer has a record with an owner and a last-contact date. The accountant opens the invoice archive on the 5th of each month instead of sending reminders, and when a buyer disputes a delivery date, the trader can produce the dated invoice and the notes from the follow-up call within minutes. The gain is not a clever feature; it is that routine questions have routine answers.

01
Friction

Five or six subscriptions, none of which talk to each other.

Fix

Use one 4b2b login for invoicing, CRM, HR and projects, and add only the apps you need.

02
Friction

No time to learn a full ERP.

Fix

Start with one app, such as 4invoices, and add others when the business needs them.

03
Friction

Lenders and tender departments ask for documents that are never in one place.

Fix

Keep invoices, customer records and signed agreements in the same account so the pack can be assembled in an hour.

Is Udyam registration free and who can apply?

Registration on the Udyam portal is free and open to any micro, small or medium enterprise, whether it manufactures, provides services or trades. The application is made online by the proprietor, partner or authorised signatory using Aadhaar, and the business PAN is linked. Be careful with websites that charge a fee for what the government portal offers at no cost.

What is the 45-day payment rule for MSMEs?

A buyer must pay a micro or small supplier within the agreed period, which may not exceed 45 days from acceptance, or 15 days if there is no written agreement. Interest on late payment runs at three times the RBI bank rate, and the buyer can claim the expense only when it actually pays, under section 43B(h) of the Income Tax Act.

Do I need Udyam registration if I already have a GSTIN?

They are separate. GST registration is a tax requirement once turnover crosses the threshold for your state, while Udyam registration is optional recognition as an MSME. Many businesses hold both, because Udyam helps with bank lending and delayed-payment protection that a GSTIN does not provide on its own. Keep both certificates in your company folder, since banks and buyers often ask for them together.

Can one login really cover invoicing, customers, staff and website?

Yes, within limits. A single 4b2b account reaches 4invoices, 4softcrm, 4softhr, 4myprojects and 4buildsite, each priced separately in EUR. It does not file GST returns or calculate Indian payroll, so those tasks remain with your accountant or specialised software, and you add only the apps you will actually open. Starting with one app and adding others later keeps the monthly cost proportional to what you use.
