A GCT invoice in Jamaica should identify the supplier with its TRN, show a unique number and date, describe what was sold and state the GCT rate and amount for each line. Consistent numbering and a retrievable archive make customer claims and TAJ reviews straightforward.
Start with the supplier's legal or registered business name, address and TRN, then the customer's name and, for a registered business customer, their TRN. Add a unique invoice number, the date of supply, a description of each item, quantity, unit price, the GCT rate and the GCT amount per line, and the total payable.
The point of the detail is traceability. Your customer must be able to support an input claim from it, and TAJ must be able to follow the sale into your return. Ask TAJ for its current guidance on invoice content, because requirements for particular types of supply can be adjusted.
Consider a catering company that sells a corporate lunch with a standard-rated meal, a delivery charge and a venue hire that is treated differently. The invoice should show three lines, each with its own treatment and amount, and a total that equals the sum. A single line reading "event services" with one rate invites questions from the customer's finance team.
Use a single running sequence per invoice series, with no reuse and no gaps without explanation. A prefix for the year or branch is acceptable if it is applied consistently. Credit notes should have their own sequence and refer to the invoice they reduce.
Spreadsheet templates fail here more than anywhere. Two staff members open the same file, both save as invoice 1042, and a month later nobody can tell which one is real. A tool that assigns the next number automatically removes the problem entirely.
If the customer is a registered business, ask for its exact legal name and TRN before issuing. Correcting a name after the fact means a credit note and a replacement invoice, which doubles the paperwork for both sides.
Each line carries its own treatment: standard-rated at 15 %, zero-rated, exempt or taxed at the tourism rate. A hotel bill that mixes accommodation, food and a tour is a typical mixed invoice. Do not apply one rate to the whole document unless every line truly shares it.
The classification of an item is something to confirm with Tax Administration Jamaica, not to infer from a competitor's price list. If you are unsure, write down the question, the answer and the date you received it, and attach it to your internal procedures for future staff.
Dates matter. The invoice date, the date of supply and the due date can all differ, and the date of supply usually decides in which period the tax belongs. Ask your accountant how the time of supply is determined for your kind of business, particularly for deposits and progress billing.
Jamaican businesses frequently quote in US dollars to overseas or tourism customers while accounting in Jamaican dollars. Show the currency clearly on the invoice. If the GCT must be stated in J$ for your records, agree with your accountant the exchange rate and how you will show it on the document or in the working papers.
Round at the line level or at the total in line with your accountant's instruction and be consistent. Customers who reconcile your invoice to their purchase order will notice a few cents of difference every time it varies between documents.
Include payment instructions: bank name, account name and number, the reference the customer should quote and the due date. Customers pay faster when the invoice tells them exactly how, and a clear reference makes it easier for you to match receipts to invoices.
Keep a copy of every invoice you issue, including cancelled ones, in a location where the full list can be filtered by date, customer and number. When a customer asks for a duplicate or TAJ asks for a sample, you should be able to produce it within minutes.
4invoices issues PDF invoices with your details and keeps the archive. It does not file with TAJ or determine which rate applies, so the tax treatment on each line stays your decision, confirmed with the authority or your accountant.
Spell out any terms that affect price: discounts for early payment, delivery charges and deposits already received. A deposit that has been paid should appear on the final invoice as a deduction, with the tax already accounted for stated clearly, so the customer does not pay twice.
Never edit an invoice that has been sent. If an error is found, issue a credit note that cancels the original in full or in part, then issue a new invoice with the correct details. Both documents carry their own numbers and refer to one another, and both stay in the archive.
Credit notes follow the same rules as invoices: identify the supplier and customer, refer to the original invoice number, state the reason and show the tax effect. The credit note reduces your output tax and the customer's input claim for the period in which it is issued, so tell the customer about it promptly.
Train staff to recognise common errors: wrong customer, wrong rate, wrong quantity and duplicate billing. A monthly review of credit notes shows patterns, for instance one product that is regularly invoiced at the wrong rate, which can then be fixed at the source rather than corrected each time.
Make retrieval part of the routine. Once a month, pick five invoices at random and try to find the invoice, the order or contract behind it, the delivery proof and the payment record. If any piece takes more than a few minutes to locate, change the filing habit that caused it. This test shows weaknesses long before a tax review does.

Mixed-rate invoices (tourism and standard) are calculated wrongly.
Show each line at its own rate and check the total before issuing; 4b2b does not determine rates.
At minimum the supplier name, address and TRN, the customer details, a unique invoice number and date, a description of the supply, the GCT rate and amount per line and the total. Confirm current content requirements with Tax Administration Jamaica, since guidance can be updated for particular supplies.
Only if every line is taxed at the same rate. When standard-rated, zero-rated, exempt or tourism-rated items appear together, show each line at its own treatment. A single blended rate hides errors and makes the customer's input claim unreliable.
Keep them for the period your accountant or Tax Administration Jamaica specifies, which is often several years. Do not delete cancelled invoices, because they explain gaps in the sequence. Store them where they can be searched by number, date and customer.
You can issue invoices in the currency agreed with the customer, provided the currency is clearly shown. Your books and filings are normally kept in Jamaican dollars, so agree with your accountant how the GCT amount will be converted and documented.
