Record employees, leave and timesheets in 4softhr so payroll inputs are ready each month.
Employers in Pakistan keep employee records, attendance and leave so that salary tax withholding, EOBI contributions and provincial social security can be calculated correctly each month. Accurate records start with a written appointment letter. 4softhr stores the records; it does not calculate Pakistani payroll.
Paying a salary involves more than a bank transfer. The employer withholds income tax from salaries above the exempt level under the Income Tax Ordinance 2001 and pays it to FBR, files the related statements, pays contributions to the Employees' Old-Age Benefits Institution (EOBI) for covered establishments and, in the provinces that operate them, contributes to the provincial social security institution for covered workers.
Other obligations depend on size and sector: Worker Welfare Fund and workers' participation in profits for qualifying companies, minimum wage notifications issued by the government, and the standing orders or provincial employment laws that regulate leave, notice and termination. Ask your adviser to list which of them apply to your establishment.
Registration obligations should be handled when the first employee joins: tax withholding registration with FBR, EOBI and provincial social security registration where the thresholds are met, and notification of the employee to the relevant institutions. Late registration usually means arrears and penalties, so check each threshold with the institution's current guidance.
A written appointment letter fixes the job title, the start date, the salary and its components, working hours, probation, notice period and the leave entitlement. It should also say whether the salary is gross or net of tax, since employees and employers often assume the opposite.
Informal terms cause the most disputes: a promised allowance that was never written, a verbal increase that payroll never saw, or an unclear probation end date. A letter signed by both sides at the start costs a few minutes; the lack of one can cost an employment case.
Keep amendments in the same file, with their own date and signatures: a promotion, a change of working hours, a revised allowance. Payroll should be able to point to a document for every figure it pays.
The inputs to payroll are facts about the month: days worked, days of leave by type, late arrivals, overtime and any unpaid absence. If those facts sit in a notebook or a chat group, payroll becomes a monthly argument. Recording them as they happen, in a system the employee can also see, removes the argument.
Leave rules come from the applicable law, the standing orders for your establishment and the contract. Typical categories include casual, sick and annual leave. Because the entitlements differ, set up the categories your contract defines and have your adviser confirm that they match the law.
Overtime and shift work deserve extra care. A factory supervisor in Karachi who works double shifts during peak orders needs a timesheet that shows start, end and approval, because the premium rate is applied to the recorded hours and nothing else.
Probation and notice dates need a calendar entry too. A new employee on a three-month probation should have a review date recorded on the file, otherwise the probation silently lapses and the employee becomes permanent by default, which can change the notice and termination rules that apply.
At month end the person who prepares the salary sheet needs a list of active employees with their agreed salary, additions and deductions, leave without pay, loans or advances, and joiners and leavers. Whoever prepares payroll, whether an in-house accountant or an outside firm, should receive that list in the same format every month.
A worked example: a company of eleven employees in Islamabad has one joiner on the 12th and one leaver on the 25th. With dated records, the preparer prorates both without calling anyone. Without them, two phone calls and a guess produce an error that the employee finds on payday.
Advances and loans to employees need written terms: amount, repayment schedule and consent to deduct. An employer who deducts without a written agreement risks a complaint, and a repayment plan on file makes the monthly deduction routine instead of contentious.
Typical mistakes are easy to avoid. Paying cash salaries without a payslip leaves no proof of what was paid; deducting without a written agreement invites a complaint; ignoring probation dates lets an unsuitable hire become permanent; and treating a long-term worker as a casual contractor creates liability if the relationship is later judged to be employment.
Another is forgetting the people who leave. A final settlement lists unpaid salary, accrued leave to the extent the contract provides, and any deductions the employee agreed to, and it is signed by both sides. A resignation letter, a clearance checklist and the signed settlement should sit together in the employee's file.
Finally, keep the staff list and the payroll list identical. If a person is paid but is not in the record, or is in the record but not paid, one of them is wrong, and an authority will notice the mismatch before you do.
4softhr keeps employee records, leave and timesheets, which is the data payroll starts from. 4mycontracts lets you prepare employment agreements and appointment letters, route them for approval and collect electronic signatures. Both help you keep a complete file per employee.
Neither calculates Pakistani payroll, withholds tax, files returns or submits contributions; payroll calculation in 4softhr is available for Romania only. Salary tax, EOBI and social security amounts for your employees are calculated by you, your accountant or your payroll provider using the current rates.
For a contractor engaged on a fee, keep a separate agreement and do not list the person as an employee. The difference affects withholding, social security and liability, and the way you describe the relationship in the paperwork should match how the work is really done.

No. Payroll calculation in 4softhr is available for Romania only. For Pakistan it stores employee records, leave and timesheets that you or your accountant use as inputs when calculating salary, withholding tax, EOBI and social security amounts using current rates. Check each month's output before payment, because errors are cheaper to fix before funds move.
Employers withhold income tax from salaries above the exempt level and, where employees are covered, employee contributions to EOBI and provincial social security. Rates, thresholds and covered establishments are set by law and change, so confirm them with the institutions, FBR or your adviser each year. Employers also keep the proof of deposit for each payment.
A written appointment letter is strongly advisable and often expected by law or by the standing orders for your establishment. It records pay, hours, probation, notice and leave. Without it, disputes about what was promised are hard to resolve. Ask an employment lawyer for a template that fits your province. Give each employee a signed copy and keep the original in the file.
Record them when they happen, in one system, with an approver for each absence or overtime entry, instead of reconstructing the month from messages. 4softhr stores leave and timesheets for that purpose. Your accountant then uses the month's totals as payroll inputs. Employees can then see their own balances, which cuts questions at month end.
The Electronic Transactions Ordinance 2002 gives legal recognition to electronic documents and signatures, subject to its conditions. 4mycontracts supports electronic signature on employment agreements and keeps the approval trail. For regulated or high-value contracts, ask your lawyer whether any additional formality such as stamp duty applies. Keep the signed version, the date and the approvers together as evidence.
