Preparing the monthly GCT return

A GCT registrant in Jamaica files a return for each monthly period, subtracting input tax on purchases from output tax charged on sales and paying the difference to Tax Administration Jamaica. The return is only as reliable as the invoices and supplier bills behind it, so organise those first.

What goes into the return

The return summarises the month in three blocks: the value of your taxable and zero-rated sales with the GCT charged on them, the GCT you paid on qualifying purchases and the net amount payable or refundable. Anything that is not on a valid document does not belong in the return.

Check the current return form and its instructions on the Tax Administration Jamaica site. Boxes, categories and supporting schedules can be revised, and an out-of-date template is a common source of rejected or queried returns.

A worked example shows the logic. A furniture maker invoices customers for J$2,000,000 of standard-rated sales in a month and charges 15 % GCT on them, which is J$300,000 of output tax. The same month it buys materials and services carrying J$120,000 of GCT with valid supplier invoices. The net payable is the difference, and the invoices and bills behind both totals must be on file.

Output tax from your sales invoices

Output tax comes from the invoices you issued during the period. Start with the complete sequence of invoice numbers for the month, so that you can prove nothing is missing, then total each tax category separately: standard-rated, zero-rated, exempt and, where relevant, tourism-rated sales. Credit notes reduce the total and need to be in the same list.

A gap in the numbering is the first thing a reviewer notices. If an invoice was cancelled, keep the cancelled document and a short note saying why. If one was issued and never sent, it still counts. The archive of PDF invoices in 4invoices gives you that list in order.

Reconcile the sales ledger to the tax figures before you start the return. If the ledger shows more sales than the invoice list, there are either undocumented sales or ledger errors, and both need explanation before anything is submitted.

Input tax from supplier bills

Input tax can be claimed on business purchases that carry GCT, supported by valid supplier invoices showing the supplier's name, TRN, date, description and tax amount. Receipts without a TRN or with a handwritten total are a weak basis for a claim, so ask suppliers for proper invoices when you buy.

Some purchases do not qualify, and some are restricted, for example items for private use. Rather than guess, keep a short list of doubtful items and ask your accountant or TAJ how they are treated. Claim only what you can support if the return is selected for review.

Credit notes and returns need care. A refund to a customer reduces output tax only if it is documented by a credit note that refers to the original invoice. Cash handed back across the counter with no paper trail cannot be used to reduce the figure.

Deadlines, payment and records

Each return has a due date set by TAJ, and the payment is due by the same date. Confirm the current date and the accepted payment methods with TAJ, and put the due date in a calendar that more than one person sees. A return that is filed on time but paid late still attracts interest and penalties.

Keep the working papers with the return: the sales list, the purchase list, the calculation and the proof of payment. Keep them for the period your adviser advises, because TAJ can ask about a past period long after the filing has been forgotten.

Zero-rated sales belong in the return even though no tax is charged on them, and exempt sales are reported separately. Misplacing a zero-rated export in the exempt box can distort the proportion of input tax you can claim, so ask your accountant to confirm how each category is reported.

How the 4b2b modules help

4invoices holds the PDF invoices you issued and an archive you can total by category. 4softerp holds ledger entries for purchases and payments. 4notify lets you write and send an SMS or e-mail reminder to yourself or your team before each due date.

The modules do not prepare the GCT return, connect to TAJ or submit anything. Those steps stay with you or your accountant; the value of the tools is that the numbers they start from are complete and easy to find.

If input tax exceeds output tax, the return produces a refund position rather than a payment. Refunds are subject to review by TAJ and can take time, so plan cash flow on the assumption that the money will not arrive instantly, and keep supporting documents ready for any questions.

A monthly routine that works

Set a working calendar around the deadline. In the first week after month-end, close the sales list and confirm that all invoices are numbered and accounted for. In the second week, collect purchase invoices, chase missing ones and agree doubtful items with your accountant. In the third, prepare the return, review it with a second person and arrange payment.

Name an owner and a deputy. A return that depends on one person fails when they fall ill or go on leave, so make sure someone else knows where the files are and how the process works. Write the steps in a one-page checklist.

After filing, store a copy of the return, the payment proof and the working papers in one folder named by period. Over a year this becomes a library of twelve consistent files, and when TAJ asks a question about a specific month, you can answer it from the folder without rebuilding the data.

A final control is a review of unusual items before filing. Look for sales with no tax, purchases with unusually high tax, large round-number entries and invoices dated outside the period. Each one should have an explanation noted in the working papers. Reviewers and auditors tend to start with exactly these items, so answering the questions in advance saves time later.

01
Friction

Output tax is recalculated manually from a stack of invoices.

Fix

Use the PDF invoices in your 4invoices archive as the source when your accountant totals output tax; 4b2b does not file GCT returns.

02
Friction

Deadlines slip during busy months.

Fix

You can write and send your own SMS or e-mail reminders from 4notify ahead of each GCT due date.

How often do GCT registrants file returns in Jamaica?

Registrants file a return for each monthly period, with payment due by the date TAJ sets. Because dates, forms and filing channels can change, confirm the current calendar with Tax Administration Jamaica and set reminders a few days before the deadline rather than on the day.

What documents support an input tax claim?

A valid supplier invoice showing the supplier name and TRN, date, description of goods or services and the GCT charged. Bank slips and till rolls without these details are weak support. Ask suppliers for proper invoices at purchase time and keep them with the monthly working papers.

What if I find a mistake after filing?

Tell your accountant straight away and contact Tax Administration Jamaica about how to correct the return. Voluntary correction is usually better than waiting for a query. Keep the corrected workings and a note of what was wrong so the same error is not repeated next month.

Can 4invoices submit my GCT return?

No. 4invoices does not connect to Tax Administration Jamaica and does not file returns. It keeps the PDF invoices you issued so you or your accountant can total output tax from a complete, ordered list, and the submission itself is made by the business or its adviser.
