Keeping records ready for FBR

FBR returns and audits are answered from records, so Pakistani businesses should keep every sales invoice, purchase invoice, bank statement and contract in an organised, searchable form. Tax laws generally require records to be kept for several years. 4b2b prepares the records; it does not file returns.

What an audit or notice really asks for

When FBR or a provincial authority writes to a business, the request is almost always specific: invoices for a month, the supporting purchase invoices behind an input tax claim, bank statements for a quarter, contracts with a particular customer, or an explanation of a difference between two figures. The business that can produce each in an hour spends the time answering the question; the business that cannot spends it hunting for paper.

Notices usually carry a short deadline, and extensions are not guaranteed. A trader in Hyderabad who received a query about one purchase supplier discovered that the purchase invoices were in a box at the warehouse and the bank statements were with a former accountant. The reply took weeks, and the delay cost more than the tax in question.

Questions from an authority often start from a pattern in your return, such as a sharp rise in input tax, a mismatch between your sales and what a large buyer declared as purchases, or a refund claim. If you understand which figures stand out in your own numbers, you can prepare the supporting file before anyone asks for it.

The four record families worth organising

Sales records: every invoice issued, credit notes, delivery notes and proof of payment received. Purchase records: supplier invoices with the supplier's registration numbers, import documents where relevant, and proof that you paid. Banking and cash records: statements and receipts reconciled at least monthly. Contract and employment records: signed agreements with customers, suppliers and staff, and the payroll file.

For each family decide who is responsible, where the original lives and how it is named. File names or numbers that include the date, counterparty and document type let anyone find a document without asking the person who stored it.

Add one more family if it applies: tax correspondence. Keep every notice, acknowledgement, challan and reply together, in date order, so that the story of an assessment can be told from one folder.

Name documents consistently, for example 2026-03 INV-0042 Customer name. A year later, nobody needs to open fifty files to find one invoice. Retention is easier too: a folder per year and per family can be archived or destroyed on schedule.

How long to keep what

The Income Tax Ordinance 2001 and the Sales Tax Act 1990 both oblige taxpayers to keep records for a minimum number of years, which in practice is commonly six years, and longer where a case is pending. Companies also keep statutory registers and financial statements under the Companies Act 2017. Because the periods and the form of records are set by the laws and can change, ask your adviser for a retention schedule and treat it as an internal rule.

Digital storage is acceptable only when the records are complete, readable and retrievable. A folder of screenshots from messaging apps is not a record system. Keep originals of documents that have legal significance, such as signed deeds and customs papers, in addition to scans.

Keep evidence for assets longer than the general period if you may later sell, scrap or depreciate them, and keep employment records for the longer periods that employment and social security laws may require. A single retention date for everything is convenient but usually wrong.

Linking records to the return

A return is a summary; the evidence behind it lives in the invoices. Build a monthly routine: close the sales list, match purchase invoices to suppliers, reconcile bank balances, then prepare the figures for the return. When a number looks odd, trace it back to a document the same day.

Customers matter too. Keeping customer names, NTNs and addresses in a CRM means your adviser can prepare withholding statements and annual schedules without asking you to search email. Where tax is withheld from your payments, keep the withholding certificate or statement next to the invoice it relates to, because the credit depends on it.

Test the chain once a quarter. Pick three invoices at random and follow each to the customer record, the contract, the delivery proof and the bank credit. If any link is missing, fix the habit that caused the gap, and not only the one document, so the next invoice is complete from the start.

A month-end close checklist

Close the month in the same order every time. First list all invoices issued and check that the sequence has no unexplained gaps. Second, match each purchase invoice to a supplier and flag those without a valid registration number. Third, reconcile the bank balance to the books and clear every unmatched credit. Fourth, review open customer balances and send reminders. Fifth, only then prepare the figures for the return.

Assign each step to a named person and a date. In a ten-person trading company in Gujrat, giving the owner the bank reconciliation and the accountant the invoice and purchase checks cut the month-end from five days to two, because nobody waited for a document that sat on someone else's desk.

File the close pack, meaning the sales list, purchase list, bank reconciliation and a note of open points, as one folder per month. The folder is what you open first when a notice arrives.

How 4b2b fits in without overpromising

4invoices holds the numbered invoices you issued, 4softcrm holds customers and the history of deals and conversations, and 4mycontracts holds signed agreements with approval trails. Together they let you answer most record requests from three places. They are not an accounting package, they do not post journals, and they do not connect to FBR or any provincial authority.

Treat them as the evidence layer. Your accountant remains responsible for the books and for filing; you remain responsible for the accuracy of what is entered. Review the archive each month, and test yourself by picking an invoice at random and finding the contract, customer record and payment behind it.

Access control belongs in the routine too. Decide who can issue invoices, who can edit customer records and who can see contracts, remove access for people who leave and avoid sharing one login. Records are only reliable as evidence if you can show who changed them.

01
Friction

Sales records live in several spreadsheets and chat threads.

Fix

Keep every sale in the 4invoices archive and every customer in 4softcrm.

02
Friction

Supporting agreements cannot be found during a query.

Fix

Keep signed agreements in 4mycontracts so they can be retrieved on request.

03
Friction

Nobody can say where the signed agreement is during a review.

Fix

Index every signed agreement in 4mycontracts with its status and parties, so it is found by name instead of by memory.

How long must I keep tax records in Pakistan?

Tax laws set minimum retention periods, commonly around six years, and longer if a case or audit is pending. Companies also keep statutory records under the Companies Act 2017. Confirm the current periods with FBR or your adviser and write a retention schedule for invoices, bank records and contracts. A shared retention schedule means staff do not discard papers that must still be available.

Are scanned or digital records accepted?

Digital records are generally acceptable if they are complete, legible and retrievable on request, but originals of legally significant documents should be kept. Ask your adviser what your authority expects for your sector, and avoid keeping evidence only in chat applications or on a single personal device. Back up the archive regularly and test that you can restore a file.

What should I do when I receive a notice from FBR?

Read the deadline, note the exact documents requested and tell your tax adviser at once. Collect the records from your archive, check them for consistency and reply in writing within the time allowed. Do not ignore a notice; requests for extension should also be made in writing. Keep a copy of everything you submit and the proof of delivery.

Which records matter most for an input tax claim?

The supplier's tax invoice carrying valid registration numbers, proof of payment and evidence that the goods or services were received for business use. Keep them together, because a claim without the matching invoice can be disallowed. Your adviser can confirm any extra conditions for your sector. Also keep the purchase order and delivery note to show the goods really arrived.

Does 4b2b file returns with FBR?

No. Returns are filed by you or your tax adviser. 4b2b helps keep the invoices, customers and agreements those returns rely on, and nothing in it is submitted to FBR or to any provincial revenue authority. Your tax adviser can tell you which statements and returns apply to your business and when they fall due.
