Billing clients in USD, EUR and AED

You can invoice international clients from the UAE in USD, EUR or AED, but if VAT is charged the tax amount must also be shown in dirhams. Because the dirham is pegged to the dollar, USD invoicing is simple, while EUR invoices need a consistently recorded exchange rate.

Choosing the invoice currency

Currency is a commercial decision before it is an accounting one. Invoice in the currency your client wants to pay and your costs are in. If most of your costs are in dirhams or dollars, billing in those removes exchange risk. If clients in Europe insist on euros, price in euros and accept the exchange movement, or add a clause to share it.

The dirham has been pegged to the US dollar at a fixed rate for decades, so USD invoicing creates almost no conversion risk for the books. The euro, the pound and other currencies float against it.

Write the invoice currency in the contract and the quotation, and do not change it between order and invoice without agreement.

Think about who your client is. A multinational with a European head office often has an accounts payable team that can only pay in euros through a standard bank run. A Gulf or Asian client may prefer dollars. Matching their currency removes a reason to delay payment.

VAT must be shown in dirhams

When you charge VAT on an invoice in a foreign currency, the tax invoice must show the VAT amount in AED, using an exchange rate allowed under the VAT rules. Many companies show the full invoice in the foreign currency and add a line with the AED equivalent of the VAT.

The rate source can be the Central Bank of the UAE rate on the date of supply or another rate approved by the authority. Whichever you choose, document it and use it every time.

If the sale is zero-rated, such as a qualifying export, you still need a proper tax invoice with the details required by the rules, even though no VAT is charged.

Printed examples help: show your accountant one invoice with the foreign-currency total, the VAT in dirhams, the rate used and its source. Once the layout is agreed, every invoice follows the same pattern and reviews become faster.

If a client asks for a different layout, such as a purchase order number or a project code on every line, add it to the template once and keep it, instead of editing invoices one by one. Small consistent additions keep approval cycles short on the client's side.

Booking conversions and gains or losses

Your accounts are kept in dirhams, so each foreign-currency invoice is recorded at the rate on the transaction date, and the payment at the rate on the receipt date. The difference is an exchange gain or loss.

Make the rule explicit: which rate source, which date, how month-end balances are revalued. A consistent method matters more than the particular method chosen, because an auditor will test consistency.

Keep the bank advice for each foreign-currency receipt with the invoice. 4invoices.net issues PDF invoices in the currency you choose and keeps them in an archive; the accounting treatment remains with your accountant.

Review open foreign-currency invoices at month-end and ask your accountant how to revalue them. Unrealised movements can look large when a currency moves, and it is better to explain them monthly than to discover them at year-end.

Contract terms that protect the margin

Add a short clause on exchange rates if payment terms are long: either price validity for a number of days, or a sharing mechanism if the rate moves beyond a band. Specify who pays bank fees and the date on which payment is considered received.

Deposits can reduce risk. Ask for an advance for custom work and issue an advance invoice, then credit it against the final invoice. Keep the numbering clean so the advance and the final invoice can be linked.

Sign the terms in a document, not in chat. 4mycontracts.net stores the contract and amendments with approval history, so you can show what was agreed.

Mention the invoice number and currency on every payment request, and confirm which entity should receive the funds if the group has several bank accounts.

Banking and receiving payments

Open a multi-currency account or sub-accounts if you receive money in several currencies regularly. Compare the fees on incoming transfers, the exchange margin the bank applies and the time it takes funds to arrive.

Put your bank details, the invoice number and the correct reference on each invoice. International transfers often lose the reference, so tell the client to include the invoice number in the payment details.

Check the client's remittance advice against your statement. If the money arrives short, claim the difference quickly while the correspondence is fresh.

Write the standard payment instructions once, including bank name, account name, account number, SWIFT code and the instruction to pay all charges, and paste them into every invoice template so that no instruction depends on an individual remembering.

Pricing across currencies

If you publish prices, decide whether you will publish one currency or several. Several prices create update work and mistakes; one reference price with conversion at quotation is simpler.

Review your price list each quarter against your costs and the exchange rates. A discount that was fair when the euro was stronger can become a loss-making one.

Record the currency and agreed price on each opportunity in 4softcrm.net, so the finance team issues the invoice exactly as sold. The CRM stores your notes; it does not convert currencies for you.

Do not forget the customer's perspective. Some clients can pay only against a purchase order, in a particular layout and language. Learn their requirement once and record it in the contact note.

Where possible, publish prices to clients in the currency they will pay, rounded to sensible amounts, and keep a record of the date and rate you used to convert, so quotes can be reproduced if a client questions them months later.

Can I issue invoices in USD from the UAE?

Yes. Many UAE companies invoice in dollars, and the dirham is pegged at a fixed rate to the US dollar. If VAT applies, the tax amount must also be shown in dirhams. Make sure your bank account can receive USD, and keep the same rate method for your books. Confirm the same rule applies in the contract.

Which exchange rate should I use for VAT?

The VAT rules allow the rate published by the Central Bank of the UAE or another rate approved by the Federal Tax Authority. Choose one method, apply it consistently and note it in your accounting policy. Ask your accountant to confirm the rate source for your case. Keep the rate table with your month-end working papers.

What happens when the euro moves between invoice and payment?

Differences between the rate on the invoice date and the rate when the money arrives are exchange gains or losses in your accounts. They are recorded by your accountant and may have tax effects. Reduce the risk by shortening payment terms or quoting prices valid for a limited time. Ask your accountant how it will be recorded.

Should I charge bank fees to the client?

Agree who bears bank and correspondent fees in the contract and on the invoice, for example with the wording that all transfer charges are paid by the sender. Otherwise you may receive less than invoiced and have to explain the shortfall in your books, or chase a small balance across currencies.
