A sales tax invoice in Pakistan must let the buyer prove what was bought, from whom and how much tax was charged. It shows both parties' identification numbers, a serial number, the date, a description, the value, the rate and the tax amount. Confirm the exact mandatory fields for your category with FBR or your adviser.
A registered buyer can recover input tax only when it holds a valid tax invoice from a registered supplier, so your document becomes the buyer's evidence in front of an auditor. If a detail is missing or wrong, the buyer's claim can be disallowed and the buyer will, understandably, ask you for a corrected invoice or a credit.
That is why invoices are better treated as controlled documents than as letters. One approved template, a fixed order of fields and a rule that nobody edits an issued invoice by hand remove most of the disputes that reach the finance department of a mid-sized business.
Think about who reads the invoice: a clerk who keys the amounts into an accounting system, a manager who approves payment against a purchase order, and later an auditor. Each looks for a different thing, so the document has to be both complete and easy to scan.
A short internal checklist before sending helps: are both names legal names, do the numbers match the registration records, does the total equal the sum of the lines, is the due date stated, is the purchase order quoted? Five checks take under a minute and prevent the majority of corrections.
Decide the legal name as registered, the registered address, your NTN and your sales tax registration number, then put them in the template once. For each customer, store the legal name, address and numbers exactly as the customer prints them, because a trade name in place of the legal name is a frequent reason for rejection.
For every line you need a clear description, quantity, unit price, line value before tax, the tax rate and the tax amount. If a product is exempt or zero-rated, say so on the line instead of leaving the tax column blank, so the reader knows it was deliberate. Add the payment terms and your bank details to avoid back-and-forth.
Order references matter more than people expect. Quote the customer's purchase order number and, for goods, the delivery note number, so that a three-way match in the buyer's accounts department succeeds on the first attempt and payment is not held up for a clerical query.
Mixed supplies need an explicit decision. If an order includes taxable goods, an exempt item and a delivery charge, show them as separate lines with their own treatment, because bundling them under a single rate is a recurring cause of disputes and later assessments. Ask your adviser how freight, packaging and installation are treated before you design the template.
Invoices are numbered in unbroken sequence, and gaps need an explanation. A voided invoice should be kept and marked as cancelled, not deleted, because a missing number is exactly what a reviewer asks about. Date each invoice on the day of supply or on the date the law requires for that type of supply, and never backdate to move tax into another period.
Errors are fixed with a credit note that refers to the original invoice, followed by a new invoice if needed. A hand-corrected PDF circulates in two versions and nobody knows which one was booked. A retailer who reissued a corrected total by email, while the buyer paid the first amount, spent a month reconciling a difference of Rs 12,000.
Credit notes and debit notes follow the same discipline as invoices: their own sequence, a reference to the original, a reason, and the tax effect shown. Ask your adviser how the period of the adjustment is treated, since the Act has specific rules about when a downward adjustment may be taken.
Domestic invoices are issued in rupees. When you invoice a foreign client, state the agreed currency and show the amount; for your own books you will also need the rupee equivalent according to the method your accountant uses. Choose one rule for converting, apply it every time and write it down.
Rounding is a small matter that causes large irritation. Decide whether tax is calculated per line or on the invoice total, apply the same rule on every document and make sure the total on the PDF matches the total in your books to the last paisa. Buyers' systems often reject invoices whose lines do not add up to the stated total.
For exports, add the shipping terms, the destination and the reference to the sales contract, and keep the bank advice for the foreign payment with the invoice. Export evidence is what supports the favourable treatment of the supply, so the file has to hold the invoice, the transport document and the proof of receipt together.
4invoices lets you issue numbered PDF invoices with your company details fixed in the template and keeps every issued document in a searchable archive. You enter the tax rate your adviser confirmed for each line, and you find a past invoice by customer, number or date when a buyer asks for a copy two years later.
It does not connect to FBR, PRAL or any digital invoicing scheme, and it does not decide the correct tax rate. If your sector is required to report invoices to FBR electronically, that reporting remains a separate task for you or your adviser. 4notify can send an SMS or WhatsApp message to tell a customer that an invoice has been sent.
Keep the archive tidy: avoid test invoices with real numbers, mark cancelled documents clearly and restrict who may issue invoices. Once a month export or print the list of invoices issued and give it to your accountant, so that the sales figures in the books and the archive agree before the return is prepared.

A sales tax invoice is a commercial invoice that also meets the requirements of the Sales Tax Act, so it shows registration numbers, the tax rate and the tax amount. An ordinary bill without those elements will usually not let a registered buyer claim input tax. Check the mandatory fields for your supply type with FBR or an adviser. Keep the template fixed so every document carries the same elements.
Do not edit an issued invoice. Issue a credit note that refers to the original invoice and, if needed, a new invoice. Keep all three documents. Hand-corrected copies cause two versions to circulate and make it hard to prove later which one was booked by the buyer and by you. The credit note also gives the buyer the documentation needed to adjust their own tax records.
Tax laws require records to be kept for a minimum period, commonly six years, but periods differ by law and can be extended if a case is open. Confirm the current rule with FBR or your adviser and keep invoices in a form you can search and print, with the numbering intact. Include credit notes and supporting delivery documents in the same retention rule.
For supplies to registered businesses, the buyer's identification numbers are normally expected on the invoice. Supplies to consumers follow different rules and thresholds. Ask your adviser which treatment applies to each customer type and record the numbers on the customer record before you issue the first document. A missing number on a business-to-business invoice is a frequent reason for the buyer to hold payment.
No. You enter the rate that your adviser or FBR confirms for each product or service line. 4invoices calculates the amounts you instruct, numbers the document and archives it. It does not look up rates or classify your goods, and it does not submit invoices to FBR. Keep your adviser's written confirmation of each rate on file as evidence of the basis you used.
