Foreign invoices are made by hand each month.
Issue PDF invoices in the currency agreed with the client from 4invoices and keep them in the archive.
Pakistani software houses and agencies export IT services by invoicing foreign clients in an agreed currency, receiving the money through a bank and keeping rupee records for tax. The practical steps are a written contract, a correct invoice, payment through banking channels and files that prove the export to your bank and adviser.
An export of services is a contract with a client outside Pakistan: the work is delivered remotely, the client pays in a foreign currency and the money arrives in Pakistan through a bank or an authorised payment channel. Software development, design, support, data annotation, accounting and consulting for overseas clients are all typical cases.
For the tax authorities and the bank the story must be consistent: the contract names the foreign client, the invoice matches the contract, and the bank credit matches the invoice. A business that can show those three documents together for every payment has done most of the compliance work.
Freelancers follow the same logic at a smaller scale. A developer in Lahore who works for a client in Germany issues invoices in their own name or their company name and should receive the money in a bank account that is in the same name.
Consider the timing too. Projects often bill in advance, on milestones or monthly in arrears, and each pattern creates a different cash profile. A small agency that invoices monthly in arrears and is paid in 45 days carries one and a half months of salaries before cash arrives, so it should plan its working capital before it takes on a large overseas client.
Many IT companies register with the Pakistan Software Export Board (PSEB), which offers a registration that can be required for certain tax and regulatory treatment of IT exporters. Companies register with SECP, obtain an NTN and register for provincial sales tax on services where their supplies are taxable. Whether PSEB registration and a reduced-rate income tax regime for IT exports suit you depends on your structure, so ask your adviser.
Special income tax treatment for IT exports and for services exported with proceeds received in foreign exchange has appeared in successive Finance Acts, and the rates and conditions change. Never assume last year's rate; take the current rule and the evidence required for it from FBR or an adviser.
Provincial authorities also have rules that can relieve the export of services from sales tax when conditions are met, typically involving a recipient outside Pakistan and receipt of proceeds in foreign exchange. Keep the evidence for each invoice, because relief is claimed on proof.
Keep a one-page note for your adviser listing every revenue stream by client country and currency, the registrations held, and the evidence available for each payment. With that page, questions about the treatment of any invoice are answered quickly and consistently.
A foreign client's accounts payable team needs: your legal name and address, the client's legal name and address, any tax identifier the client asks for, an invoice number, the date, a description of the work and the period, hours or milestones, the amount and currency, payment terms and your bank details with the SWIFT code and IBAN. Put the contract or purchase order number on it.
Some clients, especially in the United States, ask for a form certifying that you are a foreign person for tax purposes so that they do not withhold; others deduct withholding under their local rules. Ask the client in advance, put the answer in the contract and decide whether the price is net or gross of any deduction.
Keep the invoice, the timesheet or milestone acceptance and the client's remittance advice in one folder per month. A common failure is a good invoice without proof that the client accepted the work.
Money should come to a bank account in Pakistan through banking channels, and the bank issues advice or a certificate of the receipt that you keep as evidence. Payment platforms and international transfer services exist, but the terms, fees and documentation they provide differ, and some are not treated by the bank the same way. Ask your bank which documents it will issue for each channel before you put the channel in a contract.
For your books, record the foreign amount, the date, the exchange rate actually applied and the rupee amount received. An example: a retainer of 5,000 units of the foreign currency converted at a rate of Rs 280 gives Rs 1,400,000, less bank charges. Use the same rule every time and let your accountant confirm which rate the tax rules expect.
Overseas clients judge you on communication and delivery. Plan the work in 4myprojects with tasks, boards and team workload, so that a client's question about status is answered from the board and not from memory. Keep the sales pipeline and client history in 4softcrm, including time zone, decision-maker and agreed payment terms.
A ten-person agency in Karachi billing five European clients can use one board per client, a CRM record per client contact and a monthly invoice cycle. The discipline is the same as in a larger firm: one source for what was agreed, one for what was delivered and one for what was paid.
4invoices issues PDF invoices in the currency you agree and keeps an archive of every invoice, so the document the client received is the one you can retrieve later. It does not connect to FBR, provincial authorities or banks, and it does not issue the bank's receipt certificate or file anything on your behalf.
Your adviser decides the tax treatment of each stream of revenue, and your bank decides which documents it accepts. Use the archive to make their work quick: one invoice, one contract, one payment advice per transaction, filed together.

They issue an invoice in the agreed currency, quoting the contract or purchase order, with the work period, amount, payment terms and bank details including SWIFT and IBAN. They then keep the invoice, proof of acceptance and the bank advice together. 4invoices produces and archives the PDF; tax treatment is for your adviser. File the contract number on every invoice.
Registration with the Pakistan Software Export Board is voluntary in general, but certain tax treatment or incentives for IT exporters have been linked to it in the past. Whether it benefits you depends on the current rules and your structure, so ask your adviser before applying. Keep the registration certificate with your corporate documents.
To a business bank account in Pakistan, preferably in the name that appears on the contract and invoice, through banking channels. Ask your bank which receipt documents it provides for each channel. Evidence of receipt in foreign exchange can matter for tax relief on exported services. Never ask clients to pay a personal account if the contract is with the company.
Use a consistent method that your accountant confirms, such as the rate actually applied by the bank on the day of receipt, and record the foreign amount, rate and rupee amount for each payment. The tax rules may specify the rate for particular purposes, so ask before you finalise your procedure. Do not change the method mid-year without telling your accountant.
No. 4invoices does not connect to FBR, provincial revenue authorities or banks. It prepares PDF invoices in the currency you enter and archives them. You and your adviser handle returns and the bank handles the receipt documentation, so ask each of them early what evidence they need. Keep one archive folder per client.
