Staff and contractors sit in one list.
Keep employees in 4softhr and track freelancers and their agreements separately.
A remote team in Pakistan mixes employees, who work under your direction on a continuing basis, and freelancers or contractors, who deliver defined work under their own control. Classify each person from the facts, put the terms in a signed agreement and track work and leave in the right system.
The label in the contract is only part of the answer. Indicators that point to employment include working hours set by you, close supervision, exclusive service to you, use of your equipment and a long-term open-ended arrangement. A contractor typically controls how and when the work is done, serves several clients, uses its own tools and is paid for results.
Getting this wrong has consequences for tax withholding, social security contributions, leave and termination. An agency in Islamabad that calls a full-time designer a freelancer for three years may face a claim for benefits if the relationship is later treated as employment. Ask a lawyer to review borderline roles.
Apply the test per role, not per company. A developer who works fixed hours inside your project for years differs from a translator who takes occasional jobs for several agencies. Write a short note on file explaining why each person is classified as they are, so you can show the reasoning if it is questioned.
Employees receive an appointment letter with pay, hours, probation, notice and leave. Contractors sign a services agreement with scope, rate or fee, acceptance, confidentiality, ownership of the work and the right to use subcontractors, if any.
Both agreements should carry a confidentiality clause and an assignment of intellectual property that covers the work product. Include a short security schedule: use of company accounts, no sharing of credentials, return or deletion of materials on exit.
4mycontracts supports drafting both sets from templates, routing them for approval and collecting electronic signatures, so that remote people in other cities can sign on the day of joining without printing anything.
For employees abroad or contractors in other countries, local law may also apply to them, and your obligations in their country can differ. Do not assume that a Pakistani appointment letter is enough for a person living elsewhere; ask a lawyer before you hire your first person outside Pakistan.
Remote work fails mostly because of unclear ownership. Every task needs a person, a due date and a definition of done. In 4myprojects you plan work on boards with tasks and see the team's workload, which shows who has too much before a deadline is missed.
A weekly rhythm helps: a planning call on Monday, a short written update on Thursday and a review on Friday. Keep decisions in the task, not in chat, so that a new member can read the history.
Agree overlap hours across time zones. A team spread between Karachi, Peshawar and a client in another time zone should fix two or three hours when everyone is reachable and treat the rest as asynchronous.
Use the board to manage scope as well as progress. When a client request arrives, create the task, estimate the effort and, if it falls outside the agreed scope, flag it for a change request. Teams that do this have fewer weekend emergencies and fewer unpaid additions.
Employees' records belong in 4softhr: personal and job details, leave requests and balances, and timesheets. These are the inputs for payroll, which you, your accountant or your payroll provider calculate with current rates for tax, EOBI and social security. 4softhr does not calculate Pakistani payroll.
Contractors are paid against invoices. Collect a proper invoice for each payment, check that their tax registration status is current, and ask your adviser whether and how tax must be withheld on payments to them. Keep contractors in a separate list so that nobody confuses the two groups at month end.
Do not forget public holidays and religious observances. Eid holidays, Ashura and national days differ from those of your overseas clients, so publish a team calendar with both and tell clients in advance, which avoids surprises in delivery dates.
Plan payment days around the banking calendar. Salaries and contractor invoices that fall on a public holiday arrive late, and a team that is paid regularly on a fixed date stays loyal; announce the date in the contract and keep to it even when a client pays late.
Agree the equipment rule: who provides the laptop, who pays for connectivity and who is responsible for loss. Where staff use their own devices, require disk encryption, screen locks and updates, and keep the rule in the appointment letter so that it is enforceable.
Power cuts and connectivity are real in many cities. Ask each person to name a backup connection and a fallback contact, and record these on the staff file. A team in Peshawar or Quetta that has a stated backup plan keeps its commitments on days when the main line fails.
Meet occasionally if you can. Remote teams that gather once or twice a year for planning keep trust high, and the investment is small compared with the cost of replacing a good developer.
Create accounts for each person under their own name and remove access on the last day. A checklist for leavers covers company accounts, repositories, shared drives, customer data and equipment, and records who completed each step.
For work with overseas clients, make sure that your contracts with them allow your use of subcontractors and that your staff agreements cover the confidentiality duties you promised upstream. Gaps between the two layers are a common source of disputes.

An employee works under your direction and control on a continuing basis, usually with benefits and statutory deductions. A contractor delivers a defined result, controls how the work is done and often serves several clients. Facts decide, not the label. Ask a lawyer to review borderline roles. Keep a short note on file explaining each classification.
Yes. A short services agreement should cover scope, fees, deadlines, acceptance, confidentiality and ownership of the work. Without it, you may find that you do not own the code or design you paid for. 4mycontracts helps you send it for electronic signature. Ask for the freelancer's tax registration details at the same time.
Give each task one owner, a due date and a definition of done, and keep updates in the task and not in chat. A board in 4myprojects shows what is in progress and the workload per person. Hold a short weekly planning call and a written Friday update. Review the board together once a week.
No. Payroll calculation in 4softhr is available for Romania only. For Pakistan it keeps employee records, leave and timesheets, which your accountant or payroll provider uses as inputs. Tax and contributions are calculated outside the platform using current rates. Compare each month's inputs with the previous month for obvious gaps.
Follow a checklist: collect equipment, remove access to accounts, repositories and drives, transfer tasks, settle final pay and record the date. For employees, keep the resignation and final settlement signed. For contractors, close the agreement and keep the last invoice with the project files. Remind the person of confidentiality duties that continue after leaving.
